StaffAsset Recruitments ("StaffAsset®", "we", "us", "our") is a specialist recruitment agency registered in England and Wales. Our registered office is at 15 The Elsie Whiteley Innovation Centre, Hopwood Lane, Halifax HX1 5ER.

We act as a Data Controller in respect of personal data collected through our website, contact forms, CV submissions and other business activities. Our ICO registration number is available on request.

2. Data We Collect

2.1 Candidates & Job Seekers

• Full name, contact details (email, phone, address)
• CV, work history, qualifications and professional registrations (NMC, HCPC, SWE pin numbers)
• Right to Work documentation and proof of identity
• DBS certificate details and reference information
• Bank details (for payroll purposes only, handled securely)
• Equality and diversity monitoring data (provided voluntarily)
• Health information where relevant to role fitness (with explicit consent)

2.2 Employers & Client Contacts

• Name, job title, work email and telephone
• Organisation name, address and billing details
• Recruitment requirements and correspondence

2.3 Website Visitors

• IP address, browser type and device information (via cookies)
• Pages visited, time on site and referral source
• Contact form submissions

3. How We Collect Your Data

• Directly from you: when you submit a CV, complete our contact form, call us, or email us
• From third parties: job boards (e.g. Indeed, Reed), LinkedIn, referrals from other candidates or clients
• Automatically: cookies and analytics tools when you visit our website

4. Why We Use Your Data (Legal Basis)

• Performance of a contract — to fulfil our recruitment services to candidates and employers
• Legitimate interests — to operate our business, match candidates to suitable roles, and maintain client relationships
• Legal obligation — Right to Work checks, DBS processing, HMRC compliance and regulatory requirements
• Consent — for marketing communications and sensitive data (we will always ask explicitly)

5. Who We Share Your Data With

• Employers/clients — with your consent, we share your CV and relevant details with prospective employers
• DBS processing bodies — as required for enhanced disclosures
• Payroll providers — for temporary worker payment processing
• IT & software providers — our CRM, email and website hosting providers under data processing agreements
• Regulatory bodies — NMC, HCPC, Social Work England where required

We do not sell your personal data to third parties.

6. International Transfers

We primarily process data within the UK and EEA. Where data is transferred outside these areas (e.g. through cloud software providers), we ensure appropriate safeguards are in place, including Standard Contractual Clauses (SCCs) approved by the ICO.

7. How Long We Keep Your Data

• Active candidates: for the duration of our relationship plus 2 years
• Placed candidates: 6 years from last placement (statutory limitation period)
• Unsuccessful applications: 12 months unless you consent to longer retention
• Client contacts: 6 years from last engagement
• Financial records: 7 years (HMRC requirement)
• Website enquiries: 12 months

8. Your Rights

Under UK GDPR you have the right to:

• Access — request a copy of your personal data (Subject Access Request)
• Rectification — ask us to correct inaccurate data
• Erasure — request deletion of your data ("right to be forgotten")
• Restriction — ask us to limit processing in certain circumstances
